Dear State Presidents, Secretaries & MAICCI EXCO

We are pleased to inform that at the 7th Management Council Meeting (MCM) held on 15th February 2008, after much deliberation the management council unanimously adopted the below mentioned as the Rules & Procedures for the forthcoming 57th Annual Delegates Conference (ADC) of MAICCI.

The 57th ADC is scheduled for 14 June 2008 at 10.30am. The tentative venue is at the Kuala Lumpur and Selangor Indian Chamber of Commerce (KLSICCI), No. 116 1st Floor, Jalan Tunku Abdul Rahman, 50100 Kuala Lumpur.

The Rules & Procedures for the 57th ADC of MAICCI are as follows:-

1. 57th ADC preliminary notice will be sent out to all Constituent Chambers of MAICCI latest by 30 April 2008.
As required by clause 10.C of MAICCI Constitution - 6 weeks notice.

2. Constituent Chambers of MAICCI will have to forward their respective delegates list to MAICCI Secretariat by 20 May 2008.
As required by clause 10.D of MAICCI Constitution - 3 weeks before ADC.

3. The Hon. Secretary General of MAICCI shall courier to all appointed delegates the ADC report, accounts etc by 29 May 2008.
As required by clause 10.E of MAICCI Constitution – At least 14 days before ADC.

4. Delegates who are unable to attend the ADC will have to fax their respective proxy form to MAICCI latest by 7 June 2008.
As required by clause 10.D & F of MAICCI Constitution.

5. Constituent Chambers and Corporate members of MAICCI to forward resolution, motion etc to MAICCI by 22 May 2008.
As required by clause 10.D of MAICCI Constitution - 3 weeks before ADC.

6. Constituent Chambers of MAICCI/ Appointed Delegates to forward the duly completed Nomination of Candidate form to MAICCI via courier or by hand latest by 6 June 2008 @ 6.00pm.

7. The delegate of one member holding a proxy may not accumulate his/her votes with the vote of a delegate of another member. (i.e. One delegate can only
represent one proxy)
As required by clause 18 of MAICCI Constitution.


The following was further agreed upon by the management council at the said meeting.

1. Constituent Chambers and Corporate members of MAICCI must pay their respective annual subscription dues to MAICCI by 31 March 2008. (Any Constituent Chamber whose annual subscription dues received by MAICCI after 31 March 2008 will not be eligible to vote, elect and be elected and to submit resolution or
memorandum at the 57th ADC of MAICCI.)

2. Constituent Chambers must hold their respective Chamber’s AGM by 20 May 2008.

3. Constituent Chambers must submit to MAICCI their respective latest copies of their ROS Annual Return, Audited Accounts and Annual Report by 4 June 2008.

Please be advised that failure to comply with any of the above clauses shall result in revoke of the right to speak, vote, elect and be elected and to submit resolution or memorandum at the 57th ADC of MAICCI.

Once again, we humbly remind all Constituent Chambers to hold your respective AGM by 20th May 2008 and pay your respective annual subscription dues by 31 March 2008.
